As you can read in our last newsletter, digitization nowadays is indispensable. Also in the legal industry, we cannot deny it anymore. The conventional image of the lawyer with the stacks of files on the desk is obsolete. The legal world is going digital.

Not only the reduction of government subsidies and the increasing legislation and regulations, also the growing number of lawyers causes law firms and legal departments increasingly difficulties. To remain competitive, they must innovate and digitize. It is expected that all professionals in the legal industry will be working (fully) digital in 2019.

The legal industry makes insufficient use of the technological resources available. It appears that at least ten percent of the sales volume is spent on information processing. A fully digital office system will save both costs and time. In this sector they are reluctant, because it concerns important and delicate information and systems must therefore be very secure.

We would like to note that the administration for income year 2015 will in particular pay attention to the correct identification of the beneficiary for the forms 281. In November the Ministry of Finance placed a notice on the Belcotax-on-web website about the imposition of penalties. This may also has a significant impact on your business:

“From 2015 penalty for not submitted forms – 06-11-2015
The last few years, despite our repeated requests, we established that about 20,000 tax forms were not submitted right or on time. From the beginning of November 2015, therefore, we are launching a campaign in which we will impose a penalty of 50 Euros for a first offense, to a maximum of 1,250 Euros, for debtors who have an incorrect or overdue tax form for income year 2014. From 2016 any breach by submitting the forms will be penalized with a fine. In this way we hope to encourage all debtors of income to better accomplish their tax obligations in the future. “

If applicable, forms for which no national number could be found based on the transmitted identification data, the sender will be invited to revise, cancel, or complete the forms.

Below an overview of the most important adjustments from the latest updates.

– VAT status added directly on the grids of the debtors/creditors.

– At Tasks ´show totals’ now the outstanding commissions will also be included in the calculation.

ACCOUNTING
– When booking in purchase / sales it is now possible to modify the Document No.
– Column ‘allocation’ added to financial.

COLLECTION
– If the collection model is adapted in configuration; the option to update all debt cases (of the model) is added.

In response to our newsletter of November, we have received many questions about the installation of the mobile version of CICERO LawPack: ‘CICERO Mobile’.
Below is a brief explanation.

CICERO Mobile is optimized for use on Smartphone or tablet and can be accessed via the browser on the device.
The link to your CICERO Mobile website is the same as the regular V10 CICERO website with the addition of ‘_mobile’: [url] /ciceroweb/index_mobile.aspx.

For example, when your CICERO V10 website has a link like this: https://cicero.kantoor.be/ciceroweb/index.aspx,  then the link of your mobile website will be: https://cicero.kantoor.be/ciceroceb/index_mobile. aspx.

Your IT administrator needs to make the website available from the outside (via a setting on the server).

We recommend the following things in order to uphold the safety of mobile site:

1. All mobile CICERO users must set a strong password. In the Admin application, Settings, the option hasStrictPasswordPolicy can be activated. Then a difficulty level for passwords will be enforced and in addition you have to change the password every 30 days.

2. Use HTTPS URL in front of the link of the website. HTTPS encrypts between your device and the server. This prevents hackers having access to the data traffic.

3. Secure your mobile website with a Web server certificate. Your IT administrator can always contact us to discuss the implementation of these steps. If everything is carried out you can use (and save) the link for all of your mobile devices, with the same login and password as in CICERO V10.

Recently CICERO LawPack has a new feature: Search & Favorites.

At the bottom right in CICERO you will find, next to the Phone button, also the button Search & Favorites. When you click Search & Favorites, a pop-up appears at the bottom right. This allows you for the Relations, Matters and Reports application to retrieve relations, records and reports fast and easy and view your favorites and history.

So you do not always have to use the menu to go to the application and search your relation, record or report there. Now you enter the desired section directly.

In the Reports application, you now have the ability to add reports to your favorites by-clicking the green + icon. These reports can be found in Search & Favorites.

If you use the Wizard functionality in the Relations application, you now have the ability to upload personal data via eID or CompanyWeb.
This saves work and time and all information of the relevant relations will be entered in CICERO LawPack quickly.

How does it work exactly? First eID. If you are in the Wizard at Step 1 and you click the eID button the pop up as shown below opens.

Here you can read the details of identity cards and save them to the relation. You connect your card reader to the PC, put the card in it and click the button Read. The data on the card will be displayed on the screen, including photo. To save the data click the Update button.

When you click the button CompanyWeb at Step 1 in the Wizard you can, based on VAT number, directly request the information of the particular relation from Companyweb. In addition, the statutory (address) data will also be loaded directly into CICERO, so you do not have to enter it manually. This is only possible if your office has a CICERO license at CompanyWeb.

Is your CICERO LawPack version older than v10.2.48? Then quickly update the latest version and take advantage of the new opportunities CICERO LawPack offers you.

Only version v10.2.27 has a mandatory CLIDOC update. We advise you to perform this update in consultation with your IT administrator, if you have a Remote Desktop Server. All other updates can be performed perfectly by your own office! We can help you with this. Do not hesitate to approach Support for any questions.

Now that the end of the year approaches, many of us have the opportunity to rest and make time for friends and family. It is also time to pause and look back at the past year. CICERO LawPack is significantly developed over the past year. Our Collection module is now fully incorporated in CICERO v10, including an automatic follow-up procedure. All modules of CICERO v9 are now replaced by CICERO v10.

The end of the year is also the time to look ahead. We look at 2016 and are looking forward to the full integration with the digital platform for lawyers (DIPLAD). Perhaps for your office 2016 will be the year to not only optimize the internal processes but also your communication with clients.
